Please read these terms carefully before making a reservation at Chirute Guest Lodge.

Important: By making a booking with Chirute Guest Lodge, you agree to be bound by these Terms & Conditions. Please read them carefully as they contain important information about your booking.

1. Definitions

In these Terms & Conditions:

  • "We", "Us", "Our" refers to Chirute Guest Lodge
  • "You", "Your", "Guest" refers to the person making the booking and all persons included in the booking
  • "Booking" refers to the reservation of accommodation at Chirute Guest Lodge
  • "Check-in" is 14:00 (2:00 PM) on the day of arrival
  • "Check-out" is 11:00 (11:00 AM) on the day of departure
  • "Rate" refers to the price per night for accommodation

2. Booking and Payment

2.1 Reservation Process

  • All bookings are subject to availability
  • You must be at least 18 years old to make a booking
  • A valid credit/debit card is required for all bookings
  • Bookings are not confirmed until you receive a confirmation email

2.2 Payment Terms

  • Deposit: A 50% deposit is required to secure your booking
  • Balance Payment: The remaining balance is due upon check-in
  • Payment Methods: We accept Visa, MasterCard, and cash (ZAR)
  • All rates are quoted in South African Rand (ZAR) and include 15% VAT

Payment Policy

We reserve the right to pre-authorize your credit card for the full amount of your stay plus an incidental deposit of R1000. This deposit will be refunded within 7 business days after check-out, subject to room inspection.

3. Cancellation and Modification Policy

Important: Cancellation fees apply based on when you cancel. Please consider travel insurance for unexpected cancellations.

3.1 Modification Policy

  • Modifications are subject to availability
  • Date changes requested within 7 days of check-in may incur a fee
  • Rate differences apply if modifying to a higher rate period
  • No refunds for early departure

4. Check-in and Check-out

4.1 Check-in Procedure

  • Standard check-in time: 14:00 (2:00 PM)
  • Early check-in (before 14:00) is subject to availability and may incur an additional fee
  • All guests must present valid government-issued photo ID upon check-in
  • International guests must present a valid passport

4.2 Check-out Procedure

  • Standard check-out time: 11:00 (11:00 AM)
  • Late check-out (after 11:00) is subject to availability and additional charges:
    • Until 14:00: 50% of daily rate
    • After 14:00: Full daily rate
  • Room inspection will be conducted before departure

5. Guest Responsibilities

5.1 General Conduct

  • Guests must respect the peace and quiet of other guests
  • No parties, events, or gatherings without prior written permission
  • Maximum occupancy per room is 2 persons
  • Quiet hours are from 22:00 to 07:00

5.2 Property Care

  • Guests are responsible for any damage to the property or its contents
  • Smoking is strictly prohibited in all indoor areas
  • A R2000 cleaning fee will be charged for smoking in rooms
  • Lost room keys incur a R300 replacement fee

5.3 Security

  • Guests are responsible for their personal belongings
  • We provide secure parking but are not liable for vehicle damage or theft
  • Do not leave valuables unattended in public areas

6. Hotel Facilities and Services

6.1 Included Services

  • Daily housekeeping service (except Sundays)
  • Complimentary Wi-Fi in all rooms and public areas
  • Continental breakfast served 07:00-10:00
  • Secure on-site parking
  • 24-hour reception

6.2 Additional Services (Available on Request)

  • Airport transfers (additional charge)
  • Laundry and dry cleaning
  • Room service (limited hours)
  • Tour arrangements

7. Liability and Insurance

7.1 Our Liability

We are not liable for:

  • Loss or damage to guest property, unless caused by our negligence
  • Failure to provide services due to circumstances beyond our control (force majeure)
  • Personal injury, unless caused by our negligence
  • Changes or cancellations due to unforeseen circumstances

7.2 Guest Insurance

We strongly recommend that guests obtain:

  • Travel insurance covering cancellation, medical expenses, and personal belongings
  • Medical insurance valid in South Africa
  • Insurance for valuable items brought to the property

8. Force Majeure

We are not liable for failure to perform our obligations due to circumstances beyond our reasonable control, including but not limited to:

  • Natural disasters (floods, earthquakes, etc.)
  • Government actions or restrictions
  • Power or utility failures
  • Civil unrest or strikes
  • Pandemic or epidemic situations

In such cases, we will offer alternative dates or a credit voucher valid for 12 months.

9. Special Requests and Accessibility

9.1 Special Requests

  • Special requests (room location, dietary requirements, etc.) are noted but not guaranteed
  • Early check-in/late check-out requests must be made in advance
  • Additional bedding or cribs are available upon request (additional charges may apply)

9.2 Accessibility

  • Please contact us in advance regarding specific accessibility requirements
  • We have limited accessible facilities - please inquire about availability
  • We will make reasonable accommodations whenever possible

10. Pets

Pet Policy

Unfortunately, we do not allow pets at Chirute Guest Lodge, with the exception of registered service animals. Please notify us in advance if you will be accompanied by a service animal.

11. Children

  • Children under 12 stay free when sharing existing bedding with parents
  • Children 12 and older are considered adults for occupancy purposes
  • Extra beds for children under 12: R150 per night (subject to availability)
  • Children must be supervised by adults at all times

12. Privacy and Data Protection

We collect and process personal information in accordance with our Privacy Policy and applicable data protection laws, including the Protection of Personal Information Act (POPIA).

13. Governing Law and Dispute Resolution

  • These Terms & Conditions are governed by South African law
  • Any disputes shall be subject to the exclusive jurisdiction of the South African courts
  • We encourage guests to contact us first with any concerns or complaints
  • If we cannot resolve a dispute, you may contact the Tourism Complaints Officer

14. Changes to Terms

We reserve the right to modify these Terms & Conditions at any time. The most current version will always be available on our website. Continued use of our services constitutes acceptance of any changes.

By making a booking with Chirute Guest Lodge, you acknowledge that:

  • You have read and understood these Terms & Conditions
  • You agree to be bound by these Terms & Conditions
  • You are at least 18 years old and authorized to make the booking
  • All information provided during booking is accurate and complete
  • You accept responsibility for payment of all charges

Legal Acknowledgement

These Terms & Conditions constitute a legally binding agreement between you and Chirute Guest Lodge. The person making the booking accepts these terms on behalf of all persons included in the booking.
